Phase 1: Preliminary processing

 

**Good rule of thumb: Deal with only one item at a time. 

**Some instructions and examples are not available on the website at this time.  They are referred to in quotations and in blue (e.g. See “Frequent aids”) and are available in the “Manual Citations” tab of the hardcopy manual unless otherwise noted.

**Terms:

SIRSI: company name

Unicorn: software name

Workflows: technical services side of Unicorn

See Unicorn manual for clarification of other terms and procedures (as much as can be helped).

 

1. Check in tapes.

·         Supervisor usually does this, but IU Tape Cataloger may, if necessary.

·         Use the most current log found on 2nd shelf of open-faced cabinet in supervisor’s office.

·         Obtain ALL information from the recital program—NOT from labels on recordings or envelopes.

·         Write in ink.

·         Have tape deliverer sign his initials in proper column.

·         Do not let people take tapes even if it is their own recording.  They should go through the proper channels or officially check them out through the circulation department.

·         The only exception is if the tape deliverer needs one back.  In that case, make a note of it on the log in pencil. 

·         If someone desires a personal copy of a recording then refer them to:

·         Recording Services for on-campus recitals or

·         Media Productions for off-campus recitals.

**The Music Library has nothing to do with recording recitals or making copies of recital tapes. 

 

2. Retrieve tapes.

Stored in 2nd drawer in supervisor’s filing cabinet that is labeled “I.U. Tapes.”

·         Make sure each performance has correct number of recital programs:

                        4 total [1 in each envelope + 2]

·         If more copies are needed, search in box containing extra programs (sorted by performance date) or photocopy.

·         Proofread all information on recordings, cases, programs, and envelopes.

·         Make sure all copies have complete durations marked on them.

·         For operas, make sure all copies have the proper cast list.

·         Make sure all copies have performance date marked if multiple performances occur.

·         Set aside one program for each performance to be the cataloger’s copy to mark up (call no., title control no., authority information, etc.)

·         Compact discs (CDs):

·         Stuff two recital programs in envelope that accompanies circulating CD (Note: This envelope will be considered “pt.2”)

·         Stuff one recital program in envelope that accompanies archive CD  (Note: This envelope will be considered “pt.2”)

·         Videotapes (VTPs)/CD combination:

·         Stuff one recital program for each VTP copy of performance in a white pt. 2 envelope.

·         Stack one recital program on top of circulating VTP.

·         Stuff one recital program in each envelope that accompanies CDs.

 

 

3. Affix pink stickers with “Do not desensitize” warning.

            VTPs: outer casing on front (top for circulating copy; bottom for archive copy)

 

 

4. Determine main entry (See “Examples” tab).

Usually performer name, IU ensemble, or composer name (see AACR2 21.23)

Be especially aware of programs with only one composer.  If this is the case, the composer will be the main entry; determine uniform title (see AACR2 25.30 and “Sound Recording Uniform Titles”).

 

 

5. Assign/create call number (See “Assigning Call Numbers”).

·         Search in Workflows or in shelflist for existing call number.

·         Use Cutter-Sanborn table along with shelflist to create a new call number.

·         Write call number on upper left corner of cataloger’s recital program.

*Avoid duplicating call numbers.  Add a lower-case letter to make unique.

*Keep multiple performance sets in chronological order by reserving call nos. in sequential order.

 

 

6. Create a preliminary record.

·         Click Title Maintenance icon.

·         Click Duplicate Existing Title.

·         In Set Properties, check that:

·         Under Title/Bibliographic Defaults:

·         For CDs:

·         Format=SOUND

·         Entries=ALL

·         Fixed Fields=checked

·         For Videotapes:

·         Format=VM

·         Entries=ALL

·         Fixed Fields=checked

·         Under Call Number/Volume Defaults:

·         Library=B-MUSIC

·         Class Scheme=ASIS

·         Under Copy Defaults:

·         For CDs:

·         Type=HOUR06

·         Home Location=_MUIUCD

·         For Videotapes:

·         Type=AV

·         Home Location=_MUVTAPE

·         Do not change anything else

·         Click OK.

·         Conduct a Search-General search under “iutape template”

·         Highlight and select one of the following:

 

    n recital [sound recording] (student recital/personal name) (See Fig. 2a)

    [Program, 2000-2001, no. xxx] (ensembles) (See Fig. 2b)         

    [Opera title] [videorecording] : opera (videotapes) (See Fig. 2c)

 

·         You may also search by Title Control No.:

 

                        a5549915 (student recital/personal name)

                        a5520972 (ensembles)

                        a4741400 (videotapes)

**Please update these Title control numbers if a new template has to be created.

**Please shadow new templates at the title level.

**For operas: Duplicate the videotape template for the first performance. Modify as needed.  For the following recording(s) of the same work, duplicate the bibliographic record of the first performance.  Modify as needed. 

 

·         Hit Enter or Click Duplicate Title button.

·         Click OK.

·         Click Review button.

·         Click Make More Changes button.

·         Click Control tab.

·         Write Title Control # on bottom right corner of cataloger’s recital program.

·         Click Bib tab.

7. Check authority work

·         For the main entry, check the authority file in Workflows to see if a form of the name or uniform title has already been established. 

·         If it has, use it in the same form.

·         Write “IO” by name or title.

·         Add cross-references as appropriate. 

·         See supervisor in case of name change. 

·         If no authority record in Workflows:

·         Write “ØIO”

·         Search OCLC for an authority record and Export. 

·         If no records found to Export:

·         Write  “ØOL”

·         Create a new authority record (See “Subfields for Creating Authority Records” and “Workflows Diacritics”).

·         Write the Title control number (e.g. “new xx1773042”) by the name or title.

·         Copy each heading and paste into appropriate field in bibliographic record before searching/creating another authority record. (See Step 8)

 

8. Enter required information for Bib tab (Compare Figs. 2a & 3a; 2b & 3b).

 

Also, see “Examples” tab; “Sound Recordings Workform (I.U. Tapes);” “Indicators for Sound Recording Format;” and “MARC Tagging & Guide to ISBD Punctuation.”

10. Print bibliographic record and volume list.

 

·         Click Printer icon in Workflows.

·         Paste Title Control # at top of page.

·         Delete blank lines so can print on one half of a page.

·         Click Edit.

·         Choose Select All.

·         Click Format, then Font.

·         Choose ALA BT Courier.

·         Click Printer icon in WordPad to print bibliographic record.

·         Close WordPad.

·         Choose No if asked to save changes.

·         Click OK on bibliographic record.

·         Select Volume List button.

·         Scan for accuracy (See Figs. 4a-4c)

·         Insert printout back into printer to print on other half.

·         Click Printer icon in Workflows.

·         Paste Title Control # from clipboard at top of page.

·         Delete blank lines so can print on one half of a page.

·         Click Printer icon in WordPad to print volume list.

·         For Videotapes:

·         Print the volume list again.

·         Insert printout back into printer to print on other half.

·         Print the volume list again.

·         Close WordPad.

·         Chose No if asked to save changes.

·         Cut/tear printout(s) in half.

 

 

11. Prepare recordings for labeler.

·         For CDs:

·         Circle the call number in the 099 field of the bibliographic record printout with a pencil;

Indicate any extra portion of call number for labeler (e.g. v. 1-2, pt. 2)

(See Fig. 6a)

·         Stack printout of bibliographic record on TOP of cataloger’s program.

·         Attach this group of papers to CD’s pt. 2 envelope with a paper clip.

·         Rubberband CD, pt.2, and paperwork together.

·         Circle the Archive call number(s) on Volume List printout with a pencil.

·         For single-volume works, see Fig. 6b

·         For multi-volume works, see Fig. 6c

·         Attach to printout to archive CD envelope with a paperclip.

·         Rubberband CD, pt.2, and paperwork together.

·         Click Close.

·         For Videotape/CD combination:

·         Circle the call number in the 099 field of the bibliographic record printout with a pencil;

Indicate any extra portion of call number for labeler (e.g. v. 1-2, pt. 2)

·         Stack printout of bibliographic record on TOP of cataloger’s program.

·         Stack this group of papers on TOP of additional program.

·         Attach this group of papers to circulating videotape(s) and pt. 2 envelope with rubber band.

·         Circle the archive videotape call number(s) (e.g. v. 1, v. 2, pt. 2) on volume list printout with a pencil. (See Fig. 6e)

·         Attach this paper to archive videotape(s) and pt. 2 envelope with rubber band.

·         Circle the IUCD call number(s) (e.g. v. 1, v. 2) with pencil (See Fig. 6f).

·         Attach this printout to IUCD envelope with a paperclip.

·         Circle the ARCHIVE IUCD call number(s) (e.g. v. 1, v. 2) with pencil (See Fig. 6g).

11. Add MARC Holdings for multi-volume performances. Go on to

  • Click MARC Hldgs tab.
  • Select Add Holdings.
  • Library=B-MUSIC.
  • Click OK.
  • Change fixed fields:

    • Lang=blank
  • Fill in information for 852 and 866 fields:    
    • For multi-volume CDs, see Fig. 7a.

            Call up bibliographic record by call number from handwritten call number in

upper-left corner of cataloger’s recital program.

Check for accuracy of call number labels against information on screen (incl. vol. and part nos.)

            Check for accuracy of position of labels. (See Figs. 9)

            Check that barcode matches barcode information on Vol/Copy record.

Set aside program labeled on upper right corner for step 21.

Set aside cataloger’s recital program for step 22.
