SECTION VII: ROUNDTABLES TABLE OF CONTENTS VII. ROUNDTABLES A. AUTHORIZATION B. STRUCTURE C. MEETINGS D. PROJECTS E. ANNUAL REPORTS VII. ROUNDTABLES Roundtables are groups of members of the Association who meet regularly to exchange ideas on topics not specifically addressed by the committees of the Association. A list of existing roundtables may be found in the Association's Administrative Structure. VII. A. AUTHORIZATION The President may authorize the establishment of a roundtable for a period of 4 years after receiving letters of support from three members of the Association identifying a common area of concern. Renewal of the authorization for another 4 years also requires three letters of support. A roundtable may be dissolved by the President at any time, if it appears that it no longer serves a need or that its work could be carried on more effectively by a committee of the Association. VII. B. STRUCTURE Each roundtable is led by a coordinator appointed by the President in consultation with the Board and other parties as appropriate. Normally there are no other officers and no specified membership. However, the coordinator and the President may agree to adopt an alternative form of organization. VII. C. MEETINGS All roundtables hold at least one meeting a year convened by the coordinator during the annual meeting of the Association. Roundtable meetings and other roundtable activities may be announced in the Association's newsletter and listed in the program of the annual meeting. VII. D. PROJECTS Roundtable activities need not include formal projects. If a roundtable wishes to undertake a project, the coordinator should consult with the President to ensure that it is consistent with the goals of the Association, and does not conflict with the plans of any Association committee. Funding may be made available by the Board for selected roundtable projects. Requests for funding should be submitted to the Fiscal Officer no later than 4 weeks before the May/June Board meeting. VII. E. ANNUAL REPORT The coordinator of the roundtable submits a brief annual report to the President. At the President's discretion it may be published with the annual committee reports.
