February 14-17, 1997 MARBI and the USMARC Advisory Group met in three sessions during the ALA midwinter meeting. Chair Jacqueline Rile (University of Cincinnati) led the sessions. Proposals of particular interest to the music community are 97-3 (Redefinition of Code "m" (Computer file) in Leader/06 in the USMARC Bibliographic Format) and 97-7 (Coding Leader/06 and Leader/08 for Archival Material). The discussions held on these topics are briefly outlined below. The Subcommittee on MARC Formats welcomes comments on the issues presented in these proposals. A new agenda item voted on by the group was the removal of the provisional status of the Community Information Format. This was done by request of the body of users of this format. The business meeting included the announcement of a joint session with CC:DA at ALA's annual meeting in San Francisco. This session will be held on Monday morning of the meeting. The USMARC Advisory Group has also been asked to co-sponsor a program on unicode at the San Francisco meeting. A print version of the concise formats will be published after the changes made at this meeting are issued. Update #3 to the bibliographic format, #2 to the authority format, and #3 to the holdings format are expected out in March. The Library of Congress is working with OCLC on authority update #1 with hopes of publishing it in the first half of this year. Recommendations on the year 2000 problem related to the LCCN have gone to management in the Library of Congress. Their decision will be announced as soon as it is made. Those interested in knowing more about updates, status of proposal and changes, and other USMARC news and announcements are encouraged to check the USMARC Home Page at http://lcweb.loc.gov/marc/ Proposals 96-8 R: CAN/MARC Changes for MARC Format Alignment This proposal presents the changes that CAN/MARC users suggested be made to USMARC to facilitate the alignment of the Bibliographic and Authority formats. 96-8/LDRþ17: Define Encoding Level for Abbreviated Record (Approved as amended) Option 1, which proposed adding value 3 (Abbreviated Level) to Leader/17 (Encoding Level), was approved with the stipulation that headings may reflect established forms but this is not required. 96-8/008þ39 (All): Change and Add Cataloging Source Values (Approved) Option 3, which proposed retaining values only for national bibliographic utilities, cooperative cataloging programs, other, and unknown, was approved. 96-8/008þ23-27 (Visual Materials): Reorient Accompanying Matter Position (Approved) 96-8/009: Add Data from CAN/MARC Field 009 for Cartographic Material (Approved) 96-8/016: Add Field 016 for NLC Control Number (Approved as amended) The definition was amended to explicitly exclude Library of Congress call numbers and $z was changed to Canceled or Invalid Record Control Number. 96-8/085: Add New Field for Document Shelving Number (Approved) Option 2, the use of field 084 (Other Call Number) for CODOC numbers was approved. 96-8/520: New Indicator Value for Field 520 (Summary, Etc. Note) (Approved as amended) Approved with the addition of display constant generator 3 for Abstract. 96-8/542: New Field 542 for Location of Related Archival Materials (Approved as amended) Field 544 was modified to include both related and associated archival material information. 96-8/545: New Indicator for Field 545 (Biographical or Historical Note) (Approved) 96-8/561: Changes to Field 561 (Provenance) (Approved as amended) A title change for the field and for $a to History of Ownership and Custody was approved. 96-8/9XX: Add Fields in the 9XX Range (Approval opportunity relinquished) MARBI voted to relinquish the decision and its details to the Library of Congress and the National Library of Canada. 96-8/008-08 (Authority): Define Bilingual Usage Position (Approved) Option 2, adding a definition of 008/08 and defining field 038 (Language of Catalog), was approved. 96-8/008-11 (Authority): Define New Subject Heading System Codes (Approved) 96-8/040 (Authority): Add Subfield for Rules to Field 040 (Approved) 96-8/055 (Authority): Define Field for NLC Series Call Number (Approved) 96-8/$w/0-t (Authority): Add Control Subfield Code for Immediate Parent (Approved as amended) The name of the new value was changed from Immediate Parent to Immediate Parent Body. 96-8/5XX, 7XX (Authority): Define Subfield for Record Control Number (Approved as amended) In the 7XX fields, $u will be deleted. $0 will be validated for use for Record Control Number in the 5XX and 7XX fields. 96-8/678 (Authority): New Indicator and Subfield for Field 678 (Epitome) (Approved) 97-1: Definition of Second Indicator (Relationship to Source) in Field 856 (Electronic Location and Access) in the USMARC Formats (Approved) Discussion centered on the need to approve the proposal because the 856 was already being used to link to items not described in the record. 97-2: Definition of Second Indicator (Display constant controller) in 76X-78X Linking Entry Fields in the USMARC Bibliographic Format (Approved) This proposal is a tidying up of the second indicator definitionþwork that was overlooked during the approval of Proposal 96-4. 97-3: Redefinition of Code "m" (Computer file) in Leader/06 in the USMARC Bibliographic Format (Tabled until San Francisco meeting, June 1997) Discussion centered on the need to meet three goals with the new definition. Those goals are: 1) the choice of code should be clear; 2) the code must be consistently applied; and 3) one must be able to differentiate between electronic and print versions. As the third point was not addressed adequately in this proposal, the proposal will be brought back for further discussion at the next MARBI meeting. The music community has been asked to provide examples of cataloging of electronic forms of print and recorded music. 97-4: Addition of Subfield $5 in Field 655 (Index TermþGenre/Form) in the USMARC Bibliographic Format (Approved) Discussion indicated a recognition that this information more correctly goes in the holdings format and that the holdings format is not the place for it at this time. 97-5: Changes to the USMARC Classification Format for Multilingual Classification Schemes (Approved) Discussion centered on how the information in the new field and subfields was to be used and whether or not the use of a relator code list might work better. 97-6: New 007 Field Type for Remote-Sensing Images in the Bibliographic and Holdings Formats (Approved as amended) A few changes were suggested, including making value r in the 007/01 for maps obsolete. 97-7: Coding Leader/06 and Leader/08 for Archival Material (Approved in part) A change in the definition of Leader/08 code a (Archival) was approved as was a redefinition of Leader/06 code p (Mixed materials). A motion to delete 006 for mixed materials was defeated. The user community was asked to submit examples demonstrating how the various proposed changes would appear and explaining how the changes might affect the user. Discussion Papers DP 98: Subentity Codes for Country of Publication and Geographic Area It was recognized that there is no way to indicate all possible subentities in the 008. It was suggested that an indication in the 008 that a subentity appears in the 043 might work. Perhaps indicators in the 043 could be used to determine which type of subentity code is found in that field. This topic will come back to the group at a later date. DP 99: Metadata, Dublin Core and USMARC: A Review of Current Efforts Efforts in this area were reviewed and a brief introduction on the fourth metadata workshop (Canberra, Australia in March 1997) was presented.
