How to Read Codebook Entries For each item in the codebook, the entry includes the text of the survey question, the labels for the response options (the "LABEL" column), the value assigned to each response option (the "VALUE" column), the distribution of respondents among those responses (the "N" column), and the percentage of those responses (the "PCT" column). Each respondent is defined as a "case"; the two terms (cases and respondents) may be used interchangeably. How to Interpret Codebook Information The "-1" Response Value: If an item includes a "-1" in the Values, the "-1" indicates the number of respondents who were instructed to 'skip' that item. For example, a questionnaire may include an item which asks "Do any children under age 18 live in your household?" If this question is followed by an item which asks the number of children under 18 living in the household, the respondents who answered "no" in response to the first question would not answer the second. In this case, the response value "-1" is assigned to that item. "Don't Know" and "Not Answered" Response Labels: "Don't know" is not generally provided to the respondent as a response option. When a respondent writes in "don't know," the CSR assigns it a value of "8" (or some other value ending in 8). "Not answered" is never included on the survey document as a response option. If a respondent is eligible to respond to a question and does not do so, the response value for that question is coded as "9", for "not answered" (or some other value ending in 9) in the codebook. Printed October 19, 1995 Page iii Music Library Association Study Guide to Reading the Codebook (continued) How to Read the Percentage Distribution for an Item For each item, the information includes the total number of cases as well as the total number of "cases with missing data" in parentheses. Percentages are based only on those respondents who were asked the item and who gave a substantive response. Respondents who were not asked the question (coded as "-1") and those with a "not answered" ("9") response are among the missing data and are not included in the base for calculating the response distribution. "Don't know" ("8") responses are usually treated as missing data as well, unless that response option had been provided to the respondent. For each entry, the percentages can be added cumulatively. They generally sum to 100 percent. For instance, in a question that asks how favorable respondents feel toward a particular government program, the response distribution is: 23.1 percent "very favorable," 31.4 percent "somewhat favorable," 28.6 percent "somewhat unfavorable," and 16.9 percent "very unfavorable." This could also be presented in terms of favorability compared with unfavorability. Then, one could report that 54.5 percent (or 55 percent) of respondents are favorable and 45.5 percent (or 46 percent) are unfavorable toward the government program. Totals to 99 percent or 101 percent are due to rounding.
